QuickBooks Tip

Memorizing Transactions

 

Do you have a bill that you are not issued an invoice or statement for and you need to pay it every month?  Do you need to invoice someone for the same amount every month?  QuickBooks can remember these transactions and post them for you through Memorized Transactions.

Let's say I have rent to pay every month, but I don't get a bill to remind me to pay it.  Go to Enter Bill.  Type in all the information as normal.  Then before clicking Ok or Next, go up to Edit and Memorize Bill.  A

window will come up for you to name the transaction (i.e. Rent).  Click Remind Me if you want to be notified by QuickBooks reminders, Don't Remind Me, or Automatically Enter if you want QuickBooks to enter the transaction for you.  For this example I will click Automatically Enter.  Then click How Often: Daily, Week, Monthly or whatever.  I will enter Monthly because this is a bill I need to pay every month.  Next Date is the next time I want QuickBooks to enter the transaction for me.  I click Ok and I'm done.  Now QuickBooks will automatically enter this transaction for me every month and will show up when I go to Pay Bills.

 

You can also use this for invoicing, checks, journal entries, etc.  You can also set the transaction to only repeat a specific number of times, as on a loan with 36 payments.
